How to create a new USI from TEAMS

USI Form of ID Tab

If you want TEAMS to generate USI for the student, follow the below instructions:

When a student (or a training provider on their behalf) applies for a USI, they will be required to supply valid  information from a form of Identification (ID).

The Document Verification Service used by the USI System, accepts any one of the following valid Australian forms of ID:

  • Driver’s License

  • Medicare Card

  • Australian Passport

  • Visa (with Non-Australian Passport)

  • Birth Certificate (Australian)

  • Certificate Of Registration By Descent

  • Citizenship Certificate

  • Immicard

In instances, where a student does not have access to one of the above forms of ID or where information from that ID document is not accepted by the Document Verification Service, they are to required to contact their training provider, who will then contact the USI Registrar.

In TEAMS, this information needs to be entered in the Student Entry Screen > USI Form of ID tab along with the following information:-

– Country of Residence

– Country Studying In

– Country of Birth

– Town of Birth

– Default USI Contact Method

On this screen, you MUST select at least one ‘Form of ID’ for which you need to enter the information for retrieving the USI number. Either Driver’s Licence OR Medicare Card OR Australian Passport OR Visa (with Non-Australian Passport) OR Birth Certificate (Australian) OR Certificate Of Registration By Descent OR Citizenship Certificate OR Immicard.

Submitting Request for USI

Once you have updated all the information in all the fields under USI Form of ID tab, go to the Details tab and click on the Create USI button to submit the request for USI generation for the student.

Please Note: A user can only submit a USI request if the following mandatory information has been entered on the Student Entry Screen:-

Details Tab

– Student’s First Name
– Student’s Last Name
– Gender
– Date of Birth
– Mobile #
– Email Address
– Nationality
– Student’s Local Address

USI Form of ID Tab

– Country of Residence
– Country Studying In
– Country of Birth
– Town of Birth
– Default USI Contact Method
– At least one document information on the USI Form of ID tab.

Tracking USI Request 

Once a request is submitted, you can check the status of request from the USI Request Centre. You can locate this screen on TEAMS Workplace under Quick Links.

Upon clicking on ‘USI Request Centre’, you will see the below screen:

Once the USI number is generated, it will be automatically updated on the Student Entry Screen > Unique Student Identifier field.

Please Note:- A Device AUSKey which is specific to every RTO MUST be sent to support@rtosoftware.com.au which is required by TEAMS for communicating with the USI website. 

How to submit in Bulk

Three new columns have been added in the Starters Confirmation Screen (TEAMS > Student > Academic > Starters Confirmation Screen):

USI # – If a student has been allocated a USI and it has been entered in TEAMS in the Student Entry Screen then the Unique Student Identifier will be displayed in this column otherwise this column will appear as blank.

USI Form of ID Completed – If all the DVS details have been entered on the Student Entry Screen > USI Form of ID tab, then this column will display YES otherwise NO will be displayed here.

Request USI – This is a tick box which can be ticked for multiple students and a USI generation request will be submitted upon clicking the SAVE button. A user can tick this tick box only if the ‘USI Form of ID Completed’ column shows YES.

If NO is appearing in the ‘USI Form of ID Completed’ column, then the ‘Request USI’ tick box will be greyed out. A user can only select this tick box and submit the USI generation request if the DVS information has been entered on the Student Entry Screen > USI Form of ID tab.
