Rolling Periodic Attendance Report > General tab

We have made some changes to the Rolling Periodic Attendance Report parameter screen on the General tab. You can find this report from TEAMS > Student > Academic Reports III > Rolling Periodic Attendance Report. The  changes include:

  1. We have moved Include Enrolments drop-down field to the top of the General tab. Earlier it was above the Include Cancelled Enrolments’s tick box.

    IMPORTANT: we have removed the option of To Start from this dropdown as it has no relevance for this report, as you cannot mark attendance for an enrolment that has not been flagged as started.

  2. We have added new parameters for date fields for:

    • Start Date

    • End Date

Earlier we had only As at date field for this report but with the Start and End dates, you can be more specific about the data to print into the report.

Note – As At Date field will still be there below the End Date field.

 

You need to keep in mind the logic of which parameters you choose and how the system will use them. It is important to understand that the critical parameter for this report isn’t just dates, it is the Include Enrolments option that you choose. Based on which option in this dropdown you select will determine what data the system has to look for. After this it is then the date fields that are the next important component of your parameters for the following reasons:

Start and End Dates –  tells the system how much data to look for

As at Date – tells the system up to which date to calculate attendance for you

And based on which Includes Enrolments option that you choose will determine if all of the above date fields are mandatory or not. Options for Include Enrolments fields are: 

1. Current – by selecting this you are telling the system to only look at current enrolments, this means the enrolments are flagged as started BUT not flagged as finished. The Start and End Date fields will not be mandatory for this option. However it is recommended that you use these dates to keep results on what the system has to do calculations on to a minimum For example, if you select this option and leave the Start and End Date fields empty and put today’s date as the As at Date, the system will go and find all enrolments flagged as started, but not flagged as finished, even if the end date of the enrolment is in the past and then start doing attendance calculations for each enrolment. Where as if you enter a start and end date such as 01/01/2019 to 15/08/2019 then it will only find enrolments flagged as started, but not flagged as finished where there enrolment period is within this date range, no matter the enrolment start or end date.

Finished – by selecting this option you are telling the system to only look at enrolments flagged as finished. The Start and End date fields will also be mandatory for this option and you must enter dates in these fields. This tells the system to look for enrolments that are flagged as finished that also have an enrolment end date within the Start and End date period only.

Important – the As at Date you enter must be between the Start and End Date period.

 

2. All – by selecting this option you are telling the system to only look at all the enrolments including current enrolments and finished enrolments. The Start and End date fields will also be mandatory for this option and you must enter dates in these fields. This tells the system to look for all the enrolments that are within the Start and End date period only.
Important – the As at Date you enter must be between the Start and End Date period.

In this way, you can generate the Rolling Periodic Attendance Report based on your selection criteria.
